Job Description Certified Medical Assistant/Front Office Coordinator ***Seeking Certified Medical Assistant for primarily front office duties with back office coverage as needed.REPORTS TO: Practice ManagerGENERAL SUMMARY OF DUTIES: Front Office Coordinator duties:Responsible for front office flow and front office operations within the clinic(s). Responsible for greeting patients and visitors, scheduling appointments, relaying messages and registration of patients for appointments. Coordinates patient check-in procedures, collects patient payments, and manages all information necessary for complete patient demographics. Certified Medical Assistant duties:Responsible for assisting providers with evaluation, examination and treatment of patients and all follow up duties related to patient care. RESPONSIBILITES, EDUCATION, SKILLS and EXPERIENCE:Front Office Coordinator duties include but are not limited to:

  • Greets patients and visitors in a prompt and helpful manner; provides instructions/directions as needed
  • Ensures patient information is complete and accurate; updates patient profiles and scans required documents in EHR if necessary
  • Collects co-payments and outstanding balances
  • Manages patient monies collected and closes batches at end of day
  • Provides necessary release and HIPAA forms to patient for completion and signature
  • Informs clinical staff or other appropriate parties of patient arrivals
  • Ensures that insurance plan benefits are verified
  • Ensures patient referrals are obtained as required by managed care plans
  • Monitors schedule and organizes patient flow for office appointments
  • Cancels and/or marks missed appointments as no show when necessary
  • Maintains clean and orderly waiting area; coordinates patient movement, reports problems or irregularities to Practice Manager
  • Meets or exceeds quality and productivity standards as set by the Practice Manager
  • Answers emails and voicemails and returns patient calls in a timely and efficient manner
  • Completes requests for information from other office or billing staff and ensures that requests are handled promptly and effectively
  • Abides by and promotes HIPAA compliance; maintains strictest confidentiality with regards to patient informationOther Duties
    • Responsible for reconciling daily deposits for the clinic and maintaining clinic financial logs
    • Responsible for training of front office staff as it relates to front office duties
    • Notifies management of any obstacles or needs the team might have or need in order to effective perform job duties
    • Manages provider schedules and works in coordination with practice manager to block provider schedules for approved time off etc.
    • Any other duties and/or special projects as assigned by practice manager/practice administrator
    • Coordinate Drug Rep Lunches and Educational Meetings REQUIRED EDUCATION, SKILLS, AND EXPERIENCEHigh School Diploma or GED required. Front Desk Lead must be computer literate and able to operate EHR and multiple Microsoft Office applications. Must have a minimum of 5 years of Healthcare Clinic Experience ***when working as CMA - duties include but are not limited to: Daily:
      • Reviews schedule of upcoming appointments to ensure charts are prepped and include necessary documents such as required labs, x-rays, medication list, consults, etc.
      • Calls and assists patients from waiting area to back office for triage which includes but not limited to: weight, height, blood pressure, vision, hearing, pulse ox, EKG, labs, UA, question intake, medication review, etc.
      • Reports any STAT findings to provider
      • Answers phone calls, emails, voicemails and returns patient calls in a timely and efficient manner. Documents all telephone conversations with patients and family members
      • Schedules referrals and outpatient testing and contacts the patient with the information pertaining to said appointment.
      • Manages medication refill requests as per clinical guidelines
      • Assists with any procedures the provider needs.
      • Cleans and sanitizes exam rooms after every patient.
      • Draws labs and performs point of service testing on patients as per provider orders. Follow-up on all tests performed providing results timely to ordering provider.
      • Administer injections as per provider orders documenting administration as per clinical guidelines
      • Abides by and promotes HIPAA compliance; maintains strictest confidentiality with regards to patient information.
      • Performs emergency life-saving procedures if necessaryMonthly:
        • Assist with maintaining drug closet as assigned
        • Assist with maintaining items in office are stocked up as assigned
        • Perform monthly calibration checks on required equipment and log
        • Participates in staff meetings as directed by the Practice Manager
        • Other duties and/or special projects as assigned REQUIRED EDUCATION, SKILLS & EXPERIENCECertified or Registered Medical Assistant - required.Two years' experience as a Medical Assistant with in family practice or specialty, preferred. CPR certification required. ADDITIONAL SKILLS AND EXPERIENCEMedical Assistant must be able to:
          • Possesses the ability to deal with patients, visitors, co-workers, and physicians with courtesy and respect
          • Displays a professional outgoing warm and helpful attitude
          • Neat and professional appearance
          • Possesses compassion for dealing with people who are ill and need help
          • Plan, prioritize, and complete multiple tasks as delegated by the Practice Manager
          • Work under pressure; assess, respond, and communicate issues in a timely manner
          • Communicate clearly with patients and coworkers through the telephone, email, and in-person
          • Interpret and apply clinical and non-clinical policies and procedures
          • Maintains Certification for Medical Assisting as required by accrediting organization OCCUPATIONAL EXPOSURE
            • Frequent exposure to blood and body fluids
            • Frequent exposure to hazardous material
            • Exposure to communicable disease
            • Appropriate protective equipment will be readily available and provided PHYSICAL/MENTAL/ENVIROMENTAL DEMANDSRequires sitting and standing associated with a normal office environment; spends 95% or more of time inside.
